Difference between document management and content management
Many are confused
with the terms document management and content management. This leads
to further confusion whether they need a document management system
or a content management system for their business. Having a clear understanding
of these terms is essential before you go for any of these systems.
TYou should be clear that document management and content management are two entirely different tasks. Document management system is used to manage the documents, whether electronic documents or paper documents, in your organization. A document management system would enable you to convert the documents coming in to your organization into the electronic form and are stored in a centralized server. Any paper documents archived in file rooms can be converted to digital form using scanners and then stored in the document management system for easy retrieval later. A document management system provides proper access to the users regarding who can access it. Providing access to even your clients would save you a lot of the cost of postage and courier.
Content management is about managing content on the websites available in the internet and the intranet. The content management system enables the users to publish the content easily over the web. Editing of content is also made easy. If the content moves through different users for proper approval before it is uploaded to the web, then that workflow is made easy with the content management system. Usually the web pages are interconnected and it is a task by itself to maintain such interconnected content. With the content management system you can do this easily. Templates and scripting engines are also available to make the task to developing new pages or modifying the existing one easy.
There is software available in the market that has both the document management and content management modules integrated in it. You can look for such software if you want to do both the task using single software.
